Use AI for review replies without sounding like a bot

Paste-ready five-star replies all sound the same. A HVAC owner in Plano can spot them in three seconds: “We so value your feedback!” and a first name the shop never used on the invoice. The model drafts. A named person sends.

Do not connect a bot that posts to Maps by itself. Put the shop card at the top of the prompt. Ask for a draft. A person with a name on the invoice reads it, edits two lines, and hits reply. That is the whole system. It works in ChatGPT, Claude, Gemini, or Grok. The logo does not change the rule.

Prompt the model with: legal name, city, the job (furnace, drain, panel), the customer’s first name if it is on the ticket, and “If a fact is missing, write [MISSING]. Do not invent a discount.” Then delete any sentence you would not say at the truck.

Five-star replies still need one specific fact

A good five-star reply names the job and the city, thanks the person, and stops. “Glad the attic unit in Frisco is cooling again, Maria. Thank you.” That is enough. A model that has no shop card will add “world-class customer journey” and a hashtag. Cut that. If the draft could sit on any plumber’s listing in Dallas, it is not yours. Put it back through the shop card or write it yourself.

Do not paste last week’s five-star reply onto this week’s review. Maps readers notice the clone. So do the people who already left you a star.

Angry reviews stay human

A one-star or a three-star is not a template. The model may outline: apologize for the wait, name the fix, offer a callback. A named person sends it. Do not let the model offer money, a free visit, or a license number. Do not let it argue the photo. Do not let it post after 10 p.m. when you have not read the ticket.

What never goes in the review prompt

  • Live prices or a coupon the office did not approve
  • Customer ticket IDs, addresses, or photos
  • A second Maps listing “just for ads”
  • A promise to “make this right” with a dollar amount
  • The same paragraph on every five-star

If you cannot explain who hits send, you do not have a review workflow. You have a bot with your shop’s name on it.
